User App Privacy Policy

Overview

This application is a companion tool to the Intuitivecare primary SaaS platform (CRM) and enables authorised users to record meetings, generate AI-powered transcriptions, and save meeting records to the CRM system.

Information We Collect

The app collects and processes the following information:

• Meeting audio recordings created by the user.
• Transcribed text generated from meeting recordings.
• User account information required to authenticate access to the service.
• Meeting metadata, such as recording date, time, duration, and associated CRM records.

How Information Is Collected

Information is collected when:

• A user chooses to record a meeting using the app.
• A user submits a recording for transcription.
• The app securely communicates with the primary Intuitivecare platform and related services to process and store meeting information.

How Information Is Used

Collected information is used solely to:

• Record meetings at the user’s direction.
• Generate AI-powered meeting transcriptions.
• Store recordings and transcripts within the Primary CRM platform.
• Enable users to view, manage, and search meeting records.

Data Sharing and Third-Party Services

To provide transcription services, the app sends the following data to an external AI service provider:

• Meeting audio recordings.
• Limited metadata necessary to process the transcription request.

The external AI provider processes this information solely for the purpose of generating meeting transcripts and is contractually required to protect the information using security and privacy measures that are equivalent to or greater than those applied by our organisation.

Generated transcripts and related meeting data are then returned to and stored within the Intuitivecare CRM platform.

All data is processed and stored in accordance with the customers data residency preference.

We do not sell personal information to third parties.

User Consent

Meeting recordings and related data are transmitted for transcription only after the user has explicitly chosen to submit the recording for processing. By selecting the transcription function, users consent to the transfer and processing of the meeting recording by our approved AI service provider.

Users are responsible for obtaining any permissions or consents required from meeting participants before recording meetings, as required by applicable laws and regulations.

Data Security

We use industry-standard administrative, technical, and organisational safeguards to protect data during transmission and storage. Data is transmitted using encrypted connections and access is restricted to authorised users and service providers.
